For non-profit organisations, direct debit is a crucial process. It is the cheapest way of processing donations and it provides considerable certainty about expected income. It is therefore important to set up this process properly. There are several good tools available for Salesforce, but how does it work in practice? In this blog post, I list the most important steps.<\/strong><\/p>\n

What do you need?<\/h3>\n

Before you can start direct debit, you obviously need permission and some information from your donor. These are:<\/p>\n

    Name<\/p>\n<\/li>\n

  • \n

    IBAN (BIC code is usually not needed)<\/p>\n<\/li>\n

  • \n

    Amount<\/p>\n<\/li>\n

  • \n

    Frequency (one-off, monthly, etc.)<\/p>\n<\/li>\n

  • \n

    Start date<\/p>\n<\/li>\n

  • \n

    Possible end date<\/p>\n<\/li>\n

  • \n

    Possible destination (project donation)<\/p>\n<\/li>\n

  • \n

    Mandate (written approval for direct debit)<\/p>\n<\/li>\n<\/ul>\n

    It is also necessary to enter into a one-off direct debit contract with your bank. Such a contract states, among other things, how much you are allowed to collect per batch and per transaction.<\/p>\n

     <\/h3>\n

    Entry<\/h3>\n

    When you enter an agreement with a donor, don't forget to also record an origination campaign and a destination. The provenance campaign gives insight into how the agreement was recruited and helps you make cost-benefit analyses. The destination indicates what the donation is for. Is it unearmarked money or for a specific project? The destination also determines which thank-you text appears on the daily statement. So you can thank your donors very personally.<\/p>\n

    The end result of the input is an agreement linked to a Payment Profile (IBAN) and a Mandate. The system calculates what the next collection date will be.<\/p>

    Communications<\/h3>\n

    Make sure you communicate clearly with your donors about the collection process. This will prevent dissatisfaction, reversals or even claims. Specify the dates you will collect and confirm what you have recorded. Think in particular of the Mandate ID and the Collector ID. A mail merge or automated e-mail confirmation lends itself perfectly to this.<\/p>\n

    Processing<\/h3>\n

    It is possible to submit direct debit files to the bank on a daily basis. It is more usual to do this once a month. In an Incasso Run, you determine up to and including which date you want to collect. A so-called term is created for the relevant transactions: or open item. If the selection is approved, a collection file is created that you can read on the bank's website. If the file is accepted, all instalments are set to 'collected' and a donation is created for each donor. At the same time, the date for the next direct debit is updated.<\/p>\n

    Storneringen<\/h3>\n

    Of course, there are direct debits that fail. For example, because of insufficient balance or because the account has been closed. This information is returned by the bank in the daily transaction files. By recognising the payment reference, the relevant instalment is set to 'reversed' and a negative gift is entered. The reason for the reversal is also put on the instalment. It is then up to you whether you want to set up a reversal process. Do you want to retry a failed direct debit? If so, in which cases and how often? All this can be set up perfectly in Salesforce and g-company will of course help you with this.<\/p>\n

    Final result<\/h3>\n

    The end result is a smooth and predictable collection process.
